Toulouse Capitole University will host an ENGAGE.EU Staff Training Week on “Artificial Intelligence in higher education administration” from April 20 to 24, 2026.

This staff training week aims at providing a forum for staff members from ENGAGE.EU universities and other partner universities of Toulouse Capitole University to learn about the evolving role of AI in higher education administration, exchange best practices to relevantly and responsibly integrate AI in everyday office work, and reflect on desirable pathways for the implementation of AI technologies at at higher education institutions.

By allowing exchange of knowledge and good practices between administrative staff members of higher education institutions, this staff training week contributes to strengthening and sustaining the Alliance’s efforts towards driving innovation and sustainable transformation in the higher education field.

Who can participate?

This one-week programme is open to administrative staff members from from Toulouse Capitole University partner institutions who are interested in the topic of the Staff Week. Priority will be given to candidates from ENGAGE.EU partner universities No prior knowledge of or experience with AI is necessary. Before the on-site part of the staff training week, an online kick-off session will be organised to introduce the programme and the teachers. The staff training week will host a maximum of 30 participants.

Programme

The programme will contribute to providing participants with a comprehensive understanding of how AI is (re)shaping everyday work in higher education administration, equipping them with knowledge and tools to responsibly leverage Artificial Intelligence to address challenges faced in their daily administrative work.

The programme will include lectures and workshops on key topics such as:

  • Evolving role of AI in higher education administration
  • Existing AI tools and how they can be relevantly used in everyday administrative work
  • Responsible and sustainable use of AI in higher education administration (mitigating ecological, social and economic risks, ensuring information security and data privacy, addressing ethical issues, etc.)
  • Institutional strategies for the implementation of AI in administrative work practices
  • Future perspectives, emerging trends and innovations

Additional activities

The Staff Week programme will be complemented by social events, including opportunities to network with fellow participants and explore Toulouse.

Practical information

Registration: participation in the staff week is free of charge.

Meals: lunch and coffee breaks will be provided from Monday to Friday.

Accommodation: Accommodation is not included. UT Capitole will provide accommodation suggestions to accepted participants, but they are not bound to these options.

Financial support: This ENGAGE.EU staff training week is eligible for selected candidates to apply for Erasmus mobility grants provided by their home institutions to support travel costs. Please contact the relevant person at your home institution to enquire if Erasmus grant funds are available.

Application procedure

To apply for the Staff Week, please fill out the application form by 22 February 2026 (postponed deadline). The selection results will be notified at the beginning of March.
